GrillTech LLC ("GrillTech," "we," "our," or "us") collects information needed to respond to service requests, prepare estimates, schedule and perform work, document service, provide service reports, manage invoices and payments, maintain customer/equipment history, request feedback, maintain business records, and operate the business.

Information We Collect

We may collect contact information, service addresses, billing addresses, business names, site contacts, authorized approvers, appliance/equipment details, photos or videos, issue descriptions, service history, commercial account requirements, Service Orders, service logs, call notes, customer-facing service report links, invoice status, payment method references, Square customer/payment/payment-link/card-on-file token references, authorization or payment status, map/geocoding records, website chat messages, form submissions, and messages submitted through calls, texts, or email. GrillTech does not intentionally store full card numbers or CVV outside approved payment processors.

Sources Of Information

We may receive information directly from customers, property managers, restaurants, authorized site contacts, website forms, chat or automated intake tools, phone/text/email communications, payment processors, Google Workspace/Gmail, Meta/Facebook, review platforms, service software, map/geocoding providers, subcontractors, licensed trade partners, vendors, insurers, accountants, attorneys, and publicly available business directories.

How We Use Information

We use information to review service requests, prepare estimates, confirm scope and price after review, confirm card-on-file or approved account terms when required, coordinate scheduling, perform work, document equipment condition, prepare service reports, coordinate licensed parties when needed, order parts, process deposits and payments, send invoices and payment links, send service communications, map service locations, preserve activity history, respond to questions, request honest feedback, manage reviews, maintain business and tax records, protect legal rights, comply with law, improve operations, measure advertising performance, and prevent fraud or misuse.

Website Chat And AI Intake

The website may use automated intake or dispatcher tools and service providers to collect and summarize request details for GrillTech's review. Automated intake does not confirm appointments, final pricing, repair feasibility, parts availability, licensed-work status, safety status, payment approval, card authorization, account terms, or emergency response. Do not submit Social Security numbers, full payment card numbers, CVV, bank credentials, passwords, medical information, access codes, or other sensitive personal information through chat or service request forms.

Photos And Videos

Photos and videos may be used for estimates, service documentation, invoices, warranty records, safety notes, insurance support, quality control, training, and internal operations. Public marketing use requires separate permission or removal of identifying details. We try not to publish addresses, faces, license plates, private interiors, serial numbers, or other recognizable private-property details without permission.

SMS, Phone, And Email

By contacting GrillTech or submitting a service request, you authorize GrillTech to contact you by phone, text, or email about your request, estimate, scheduling options, appointment, Service Order, service visit, service report, invoice, payment link, parts/repair quote approval, repairs, safety notes, licensed-party coordination, secure payment/card-on-file setup if the job is accepted, or follow-up service. Promotional texts and marketing emails use separate consent and opt-out language where required. You can ask GrillTech to stop marketing messages at any time. Transactional service messages may continue when needed to complete an active request, invoice, warranty issue, legal requirement, or account matter.

Email, Reports, Payments, And Maps

GrillTech may use Google Workspace/Gmail to send customer communications from GrillTech business addresses, including service updates, invoices, payment links, parts/quote approvals, service reports, and review requests. GrillTech may use Square or another approved payment processor to store card-on-file/payment references and process payment links or approved charges. Service reports may be provided through secure web links. Service addresses may be sent to a geocoding provider, such as OpenStreetMap Nominatim, to place the customer/service location on GrillTech's internal map.

Cookies And Optional Analytics

Hosting, security and service-request tools operate independently of optional Google Analytics. Cloudflare also provides website performance and traffic measurement. Google Analytics is optional and loads only on eligible public service pages after you choose to allow it. Declining does not affect service requests. We do not enable advertising personalization through this setup.

If you allow Google Analytics, it uses cookies to measure public-page visits and actions such as opening a request form, successfully submitting a service request, or clicking our phone or email link. Our custom events use fixed public-page categories and action names, not your form answers, notes, photos, contact details, equipment identifiers or private report links. Google Analytics also processes cookie identifiers and technical usage information, such as browser/device details and session activity. Operational pages and unrecognized URL parameters are excluded from this optional tracking.

Your analytics choice is saved in this browser for up to 180 days. Global Privacy Control and Do Not Track signals keep optional Google Analytics off. You can change your choice below or through the website footer. Withdrawing consent stops future optional collection in this browser and removes this site's Google Analytics cookies; it does not automatically erase previously collected information.

Analytics choices

Public service pages use browser session storage to retain the original landing page and campaign source while you browse, so those details can accompany a service request. This does not store your form answers or photos. Our website event measurements are limited to public service-page categories and actions, such as opening a request form or completing an intake submission, rather than customer names, contact details, notes, photos, equipment identifiers, or private service-report links.

Sharing

We may share information with service providers and business partners who help operate the business, such as website hosting, email, CRM/operations software, chat/intake, payment processing, map/geocoding, bookkeeping, accounting, legal, insurance, parts suppliers, licensed trade partners, subcontractors, review platforms, analytics providers, advertising platforms, backup providers, and data-storage providers. We may also share information when required by law, to protect safety, to respond to legal process, to enforce agreements, or in connection with an insurance claim, business transaction, or dispute.

Selling Personal Information

GrillTech does not sell customer contact information for money. If GrillTech later uses advertising tools that are considered a "sale," "share," or targeted-advertising disclosure under an applicable privacy law, GrillTech will update this policy and add required privacy choices before using those tools.

Security

GrillTech uses reasonable administrative, technical, and physical safeguards appropriate for a small service business. GrillTech uses owner login controls, demo sandbox separation, activity logging, server-side token storage for connected mailboxes, state snapshots/backups, and processor-only card storage. No system is perfectly secure. Sensitive records are handled under GrillTech's Written Information Security Program.

Retention

We keep contracts, estimates, invoices, Service Orders, service logs, payment references, service photos, reports, communications, activity events, tax records, insurance records, warranty records, and legal records for business, tax, warranty, insurance, legal, and operational purposes. Records may be archived or deleted when no longer needed unless retention is required or reasonably appropriate.

Privacy Requests And Choices

You may contact GrillTech to ask about your information or request correction, deletion, or reduced communications. Some requests may be limited when GrillTech needs records for service, warranty, tax, legal, insurance, security, dispute, or business-record purposes. Opt-out requests for marketing messages will be honored through the applicable communication workflow.

Children

GrillTech services are intended for adults and businesses. The website is not directed to children under 13, and GrillTech does not knowingly collect information from children.

Changes

GrillTech may update this policy from time to time. The effective date above shows the version date. Updates apply going forward after posting unless a law requires another approach.
